We tried to keep it simple and straightforward and hopefully it's easier to record your follow-up PMs. Check out the "Example of how to use the sheet" row if you've got any doubts. If you have any feedback or suggestions for additions to the dropdown options, let us know. My goal is to make this experience as smooth and awesome pawsome as possible. * We also have a new and improved Monthly Leaderboard tab that keeps a log of your PMs for you to follow your quota (we also use this for cheers awarding!) which is truly fabulous, so don't forget to check it out ^^. Reminders & FYIs! * Please make sure you are sharing the Welcome Pack with every member. It's a critical resource. * 1 half of the welcome is the first message, and the second half is the follow-up. Don’t forget to go back and send check in PMs! Even if there was no response to the first message, it shows we care for them. Also, sometimes PMs get lost as I am sure many of you know! * That said, all columns on the Tracking sheet should be filled. The “Notes” section is optional - anything you add there is checked by the leads for concerning issues, feedback and anything else we can take on board to improve the program. * It's common for new members to be looking to connect with a listener and naturally may ask if you are able to listen. ...See more The hardest part of the journey is sometimes the beginning, and this is especially true of our newbies. We as a community have the power and ability to ensure they get properly oriented and supported so that their journey is smooth. I have been actively contacting newbies over the past couple of months and the results have been inspiring. Roughly 80% of those I sent a personal message responded to me and very appreciatively! That's a really big deal because those people have a much higher chance of being retained (retained = staying on 7 Cups). But I need help! So it's with great excitement, that I announce the revamped relaunch of the Welcome Committee! Through this initiative, we can meet our newcomers at the start with a friendly welcome (think hospitality, a greeter, etc.). We will also provide guidance and resources they need to navigate their first steps. There's a few requirements just to be sure Welcomers are familiar with the basics of our platform. Requirements for PM Team: ✔ You must be a Verified Listener (find out how to get verified here) [https://www.7cups.com/forum/listenerjourney/ListenerVerificationProject_1839/GetVerifiedon7Cups_290064/] ✔ 25+ chats ✔ No behavior reports (BPS) within 3 months ✔ Maintenance criteria: 2-3 hours a month to dedicate to this project ✔ Adaptability to changes! Welcome Committee: Tips for Sending Welcome Responses & Follow-Up PMs!

...See more Hi, team! Thank you all for your diligence and thoughtfulness in welcoming our newest members! Being that it's a bit of a multi-step process, I wanted to give you some ideas and clarification for how to engage our newbies from start to finish. Here's the rundown of the process and some example text I use: Step 1: The Welcome The initial outreach is simple: an introduction, ask them if they have questions, and of course a warm welcome. Think of this as a conversation starter.  Check out some templates I've gathered that you can play with and personalize. When sending messages, please break them up into more than one so that any questions and prompts don’t get lost in the text block (And it shows them we’re not an AI/bot :P) Step 2: The Response If they respond, answer any queries, and be sure you give them the Welcome Pack [https://docs.google.com/document/d/1CL9Yu_6zixlapOjdrhCgKLy9JN5wY3HWdrGH7PIO2WI/edit]either in your first message or this one. This document is super important to their orientation! Here's a hypothetical for inspiration: Member: A peer suggested this platform to help me find support for my depression. Welcomer: I'm glad to hear it and we're happy to have you! I want to give you our Welcome Pack which should outline most things you need to navigate the platform: https://docs.google.com/document/d/1CL9Yu_6zixlapOjdrhCgKLy9JN5wY3HWdrGH7PIO2WI I will pop back in to check on you in a couple days. If you have any questions between then and now lemme know! Step 3: The Follow-Up Hi, again! I am just coming back to check in and see how you’re doing and that you have all the resources you need to find support. Are you settling in alright? Step 4: Final Response Conclude the welcome sequence by answering any last questions. — Keep in mind, that some approaches may work better than others. I encourage you to try on different methods and vary the language. The ultimate goal behind the WC project is for the member to have been supported by us and equipped with the tools they need to feel comfortable and confident to go into their journey here. ...See more Hello, Team WC! The Welcome Committee has really taken off and I am confident it will become a core part of our community’s culture. We’re already cultivating such a warm inviting support network, and the WC aims to strengthen our foundation by offering hospitality right out the gate. I am extremely impressed with our team. Small as it has been starting, we have collectively welcomed 3000+ since we began using our spreadsheet logging system on July 23rd. If we’ve done that in such a short amount of time, imagine how many people we will have reached by the end of this month! As we roll into a fresh new month, I have a few things to share and some reminders! ➡️ First, please give a shout out to @kenzolena who has been trialing as the community leader of this program. Without them, I could not have made all the headway on developing the WC in this short time! Lena will be helping oversee the team, onboarding, checking in with you guys, and also hosting AMAs to promote this project, among other things. Thanks, Lena! ➡️ Starting this month, let’s begin sending follow-up messages to each member we welcome within 1-5 days of the last message. You may ask why follow-ups are important. They reinforce engagement by showing the member that we are there for them. Some folks may think in our initial message that it’s automated so sending a personalized checkup confirms we’re “real people.” And by sending a follow-up we’re giving them a chance to ask questions they may have after spending a little time on the platform. ➡️ We understand everyone here has their availability and we deeply respect your time so please send follow-ups as you’re able but let’s try to send them any later than 5 days. Data has proven that the most critical points for a member are in their first 5 days. We’ve added columns to clearly log your follow-ups to mark that you sent them, when they reply and any notes on how it went so please check them out and ask me questions. Note: Since the welcoming experience is two parts, sending the first welcome and sending the follow-up, the quota will be adjusted to combine both. Check your quota anytime on the "Monthly Leaderboard (PM Track)" tab. ➡️ Pretty much all the information needed to perform WC work is in the Guide [https://docs.google.com/document/d/1mPKFHFOVilmw9yS7IhbhLZt91NP6yhkrbXunyFMXmIQ/] and our FAQ [https://docs.google.com/document/d/1jsJW4hLt00VvY73h_hOpRafmzLDw_-M8S8U5Uqldooo/]. The hardest part is the beginning and having a helping hand by your side to start your journey can have an immeasurable impact. As the welcoming committee project evolves, we need new, passionate leaders to help it excel even further!
