Announcing: Community Calendar Instructions

Howdy howdy community!

I’ve received many questions regarding our Community Calendar and how to submit discussions, so we’ve put together some step-by-step instructions for our discussion hosts in the community so we can work to keep the calendar updated to better-promote and accurately reflect all of our events and sessions in group support. (Note: Instructions are easier to follow if the site is opened in full screen on a browser.)

So you wanna host a discussion? Let’s do this.

Once you decide to host a discussion and have communicated with your Support Team Leader (STL) about hosting, you should submit it to the Community Calendar. Note that some STLs may submit it to the calendar on your behalf; if so, great! Also note that our Community Calendar is hosted on Tockify. So if you see someone say “Tockify your discussion!” that just means add it to the calendar.

Tip: Check the calendar before submitting your event to see what other events or sessions may be happening around or at the same time of your submission; we want to make sure no rooms are double-booked for sessions. Also, it can help with attendance if you host when not many other sessions are happening, but it’s okay if you have a session occurring at the same time as another team.

How does submitting to the calendar work? See below.

  1. Go to the Community Calendar. At the top of the page, select “Submit Event” to begin.

  2. Your Name: Your exact 7 Cups username (Please do not include “@” with your username)

  3. Your Contact Email: The email associated with your 7 Cups account (or your Cups-dedicated email if you have one).

    1. Don’t worry; this will not be visible to the public. This just sends a confirmation to your email to make sure you know your event was submitted. (However, you will not receive an email confirming the discussion was approved, so follow-up with your STL if need be.)

  4. Skip Private Notes

  5. Title: This can be the title of your discussion or event. It will be the header on the calendar entry. Make sure it’s short, succinct, and to the point. Please also indicate the audience (i.e. Adults or Teens).

  6. Link to your website: 7cups.com

  7. Text shown: 7cups.com

  8. Keywords: This is a drop-down menu when you begin typing in the box. You may select the name of your subcommunity/team as well as other relevant words such as Adult or Teen or Game for example. Using these tags also allows those browsing the calendar to better-search for events relevant to their interests. (i.e. When browsing the calendar, selecting the "Adult" tag will narrow events down to those tagged as "Adult".)

  9. Event Image: This can be an image your subcommunity has pre-chosen to represent your team on the calendar. Please reach out to your STL for an image. This image will appear in the description box. It’s okay to leave it there. STLs, if you’re unsure of an image, reach out to @LuLuRings for support.

  10. Skip “Image Alt Text”

  11. For event date/time, please change it to be the correct day and time for your event (in Eastern Time, abbreviated ET). Be sure to set both starting and ending time.

  12. If you would like a discussion to be recurring, you can PM your STL to make your submitted discussion repeat on the calendar to avoid re-submitting each week. If you need to miss a session or several sessions that are repeating, you can request to cancel it on the calendar for the week(s) you will be absent.

  13. Your event description should be something like:

    1. “Please join host username(s) on Monday, January 11, 2021 at 11am ET in the Name of Support Room for a discussion on discussion title/topic.”

    2. Please no “@” with usernames in the description. See other discussion entries on the calendar for reference if you’d like.

  14. Make sure this is designated as an “Online Event”

  15. The Event Location and Link should both be “7cups.com”. Leave the Event Instructions blank.

  16. Select “Check and Submit” at the top of the page. If everything looks okay, select Submit Event.

  17. A screen will appear. If you’re submitting another discussion, you can select “Submit a similar event” for it to have everything prefilled for you to make your changes. If you’re only submitting one event, please select “Finished.”

  18. Send a PM to your STL to let them know you submitted an event to tockify that needs approval to post on the community calendar. Also, if you submit an event and realize you need to make edits, please let them know as well, as they can make appropriate changes to your submission as needed.

  19. After Tockifying, be sure to complete any necessary organizational tasks on your team, such as logging the discussion on your dashboard. See your STL for more information.

If you’re unsure of your team leadership, please see your subcommunity’s page and check the Leaders tab.

If you're not able to contact an STL for your team, please contact your Community Mentor Leader (CML).

If you’re not able to contact a CML for your team, please contact @LuLuRings for questions or concerns regarding calendaring discussions.

Support Team Leaders, please contact @LuLuRings for the Tockify credentials to approve discussions. Also, please only approve discussions for the team over which you are STL.
